This guide explains how to interpret the Greenly automated export file and use it to efficiently update your EcoVadis online questionnaire. Follow these steps to review the AI-generated suggestions and transfer the data to the EcoVadis platform.
Understanding the Export File Structure
The export file contains your original EcoVadis questionnaire data enriched with AI-generated responses. Greenly has added specific columns to the right of your standard questionnaire fields to facilitate your review.
Open your export file (CSV or Excel) and locate the following key columns in the header row:
Answer / Option to select: This column contains the specific response or checkbox option the AI recommends based on your documentation.
Justification: This column provides the reasoning behind the recommended answer. You can use this text as a basis for the comments or descriptions required by EcoVadis.
Evidence: This column lists the specific file name(s) from your uploaded documents that support the answer. You must upload these files to the corresponding question in the EcoVadis portal.
Quote in evidence: This column extracts the exact text from your documents that triggered the recommendation, allowing you to quickly verify accuracy without reading the entire document.
Reviewing AI Suggestions
Before transferring data, it is critical to understand the limitations and scope of the export file.
Warning: The AI-generated suggestions are designed to assist you, not replace human judgment. Always review the content. Mistakes can happen, and context may be missed. You are responsible for the final accuracy of your submission.
Filtered View
The export file is not a carbon copy of your entire blank questionnaire. It has been filtered to show only the questions for which the AI found appropriate evidence within your provided documents.
If a question row is missing from this export, it means the AI could not find sufficient evidence in your documentation to suggest an answer.
You must manually review and answer any questions not included in this export directly on the EcoVadis platform.
Transferring Data to EcoVadis
Use the export file as a reference side-by-side with your EcoVadis online portal.
Locate the Question
In the export file, identify the unique identifier in the Question Code column (e.g., GEN800, ENV100).
In the EcoVadis portal, navigate to the corresponding section and question number.
Select the Answer
Read the text in the Answer / Option to select column of the export file.
Select the matching option or check the corresponding boxes in the EcoVadis portal.
Enter Comments
Copy the text from the Justification column in the export file.
Paste this text into the comment or description field for the question in the EcoVadis portal. Edit the text as necessary to ensure it flows well and accurately represents your company's position.
Upload Evidence
Refer to the Evidence column to see which file supports your answer.
In the EcoVadis portal, upload the specified document to the question's evidence section.
Tip: Use the Quote in evidence column to verify that the document contains the relevant information before uploading.
Verify and Save
Double-check that the selected answer, comment, and attached evidence align logically.
Save your progress in the EcoVadis portal.
