EcoVadis is an evidence-based certification system: to earn points, every answer in your questionnaire must be supported by valid, credible, compliant documents. If a document is missing a required criterium, EcoVadis analysts will reject it — and the corresponding points are lost.

Greenly helps you avoid this risk through a dedicated AI-powered compliance audit that automatically checks every document against EcoVadis validation rules. This article explains how compliance works and how our AI ensures your files will be accepted.

What EcoVadis expects in each document

EcoVadis applies strict compliance criteria to every uploaded file. To be accepted, a document must:

✅ Clearly identify your company (name or logo)

✅ Fall within the valid time period (policies ≤ 8 years, KPIs ≤ 2 years, certificates valid at date of submission)

✅ Cover at least 80% of operations (95% for GHG KPIs)

✅ Contain specific, actionable details — not vague declarations

✅ Be official and pre-existing (not written just for EcoVadis)

If any criterium is missing, the document may be rejected or ignored by the analyst.

How Greenly’s AI ensures full compliance

AI reads and analyzes every uploaded document

Once documents are added to the Greenly platform, our system automatically scans their content and structure.

It checks:

  • Title, scope, and company identity

  • Dates and validity

  • KPI recency and units

  • Whether the file applies to the evaluated entity

  • Whether it meets EcoVadis acceptance rules

You do not need to manually verify every file — the AI does it for you.

Compliance check against each EcoVadis criterium

EcoVadis defines detailed acceptance criteria for each document type (policies, KPIs, certificates, reporting, endorsements, etc.).

Our AI evaluates each criterium individually. For example:

Compliance Criterium

Example Verification

Company identity visible

Logo or company name appears in the document

Scope covers ≥80% operations

Policy applies to all sites, not only one subsidiary

KPI ≤ 2 years old

Reporting year detected inside the document

Certificate validity

Expiry date confirmed and accredited body identified

For every file, the platform states:

Criterium met, or

Criterium not met, with a clear explanation

Full transparency: you know why a document passes or fails

For each document, the system generates a structured compliance report:

  • Which criteria are met

  • Which are missing

  • Why the document would be accepted or rejected by EcoVadis

  • What needs to be improved

This prevents last-minute surprises and accelerates document preparation.

Re-upload and re-analyze anytime

If you update or improve a document, you can rerun the AI compliance analysis instantly.

This allows you to:

✔ Fix issues before sending the questionnaire

✔ Replace non-compliant files with corrected versions

✔ Confirm that every document will be validated by analysts

No guessing. No blind uploads.

Why this matters

Many companies lose points because documents get rejected for small details — missing logo, outdated data, wrong scope, no date, not detailed enough, or not official. With Greenly:

Risk without AI

Result with Greenly

Documents rejected by EcoVadis analysts

Compliance verified before submission

Searching manually through every file

AI audits everything automatically

Uncertainty about whether proofs will be accepted

Clear “Compliant / Not compliant” status for each criterium

Rework close to deadline

Re-analyze documents instantly after update

This ensures that once a document is used as a proof, it is validated, traceable, and 100% compliant with EcoVadis rules.
